Take Five Marketing Sign in

Privacy Policy

Effective date: October 21, 2026

This Privacy Policy explains how Rohenn Strategic Technology Consulting ("we", "us") collects, uses, shares and deletes information in Take Five, a social posting and reporting service for veterinary marketing agencies and their clinics (the "Service").

1. Information we collect

Account information

For each person who uses the Service we store a first name, last name and email address, and a password that is stored only as a salted hash. For each clinic account we store the clinic name, time zone, website address, phone number, email address and street address and city that the clinic or its agency enters. We also store the images, logos and brand settings (colors, fonts) that the clinic or its agency uploads.

Information from Facebook

When a clinic connects its Facebook Page to Take Five, we receive and store:

  • The identifier of the Facebook user who authorized the connection, and the Page identifier, Page name and Page category.
  • The Page access token that Facebook issues, which we use to act on the Page. It is encrypted at rest in our database.
  • The content of the posts that Take Five publishes to the Page (text and images) and the identifier Facebook returns for each post.
  • Post performance metrics for those posts (for example reactions, comments, shares and views) and Page follower and fan counts.

We use the user access token Facebook issues only during the connection step to obtain the Page access token. While you choose which Page to connect, we hold it in our server cache for at most 10 minutes, after which it expires; we never save it to a clinic account.

Instagram

Take Five does not currently connect to Instagram accounts and does not collect or store Instagram data. Only Facebook Pages are connected. If we add Instagram support in the future, we will update this policy before we collect any Instagram data.

Technical information

Our servers log standard technical information such as IP address, browser type and the time of each request, and record the sign-in times and addresses of signed-in users, for security and troubleshooting.

2. How we use information

We use the information above to publish the posts that a clinic and its agency schedule to the clinic's Facebook Page, and to report the performance of those posts and of the Page to the clinic and its agency. We also use it to operate and secure the Service, authenticate users, and respond to support requests. We do not use information obtained from Facebook for advertising, profiling or any purpose unrelated to the Service.

3. Sharing

A clinic's information is visible to the users of that clinic's account and to the marketing agency that manages the clinic in Take Five. We do not sell personal information and we do not share information obtained from Facebook with advertisers or data brokers. We use infrastructure and service providers (for example hosting and email delivery) who process data on our behalf, and we disclose information if required by law. When we publish a post, its content is sent to Facebook, which handles it under its own terms and privacy policy.

4. Retention

We keep a clinic's Facebook connection data and the related post and metrics records for as long as the clinic is connected to Take Five. When a clinic disconnects its Facebook Page, we remove the stored Page identifier, Page name, Page access token, Facebook user identifier and Page data from the clinic account. We delete the remaining post content and post metrics records, and personal data of a person whose deletion has been requested, within 30 days of a disconnect or of a verified deletion request. Backups are overwritten on their normal rotation.

5. Deleting your data

  • Disconnect Facebook. A clinic user can disconnect the Facebook Page in the Take Five settings, or remove Take Five from Facebook under Settings, Business Integrations. When Facebook notifies our data deletion callback, we automatically disconnect every clinic account linked to that Facebook user, remove the connection data described in section 4, and give you a confirmation code and a status page at /facebook/data-deletion/<confirmation code>. We keep a record of each deletion request (Facebook user identifier, confirmation code and outcome) as proof that it was handled.
  • Email. Write to rmachado@rohenn.com to request deletion of your account data, including post content and metrics. We complete verified requests within 30 days.

6. Security

Page access tokens are encrypted at rest, passwords are stored as salted hashes, and traffic to the Service is encrypted in transit. Access to a clinic's data is limited to its account members and its managing agency. No method of storage or transmission is completely secure.

7. Children

The Service is for businesses and is not directed to children under 16.

8. Changes

We will post changes to this policy on this page and update the effective date.
